For each task, the calculator applies a reduction factor to the time your team spends on it: 30% of email, 20% of meetings, 35% of general admin, 50% of data entry and 40% of reporting. Those figures are deliberately conservative. Anyone quoting 80% time savings on email is selling something.

Hours are multiplied across your headcount and 46 working weeks, which allows for statutory holiday and bank holidays, then valued at the hourly rate you entered. Use salary plus employer costs divided by hours worked, not the headline salary, or the answer will be too low.

Released time is not the same as saved money. The figure assumes the hours you get back are redeployed onto something useful. If they are absorbed into the day instead, the saving is real for your team's workload and invisible on the balance sheet. That is a management question rather than a technology one, and it is the single biggest reason automation projects fail to show a return.

The model also assumes the tooling exists rather than needing to be built. For most businesses on Microsoft 365 Business Premium, Copilot and Power Automate are already inside the licence, so a good share of this needs configuration rather than new subscriptions.
